We are going to be helping the IS leaders begin thinking about how to
use the Five-Year Plan in their daily work.
First, let me point out that to facilitate means "to make easy, or to
lessen the difficulty of" something. In this case, you are being
asked to facilitate the discussion--to make it easier for everyone to
participate. This may mean that you will have to restrain your own
comments, using open-ended questions and waiting to encourage others
to speak.
This means that you must exercise your skills in:
- Active Listening--assume that the other person really means what
they are saying and try to understand them, not just cut them
off. Listen and feedback. Look at the person and don't let
other people cut them off.
- Support--again, help the other person to express their ideas,
even if they are NOT the same as yours.
- Involvement--try to make sure everyone participates, and
everyone has a fair chance to express their ideas.
- Roles--encourage good meeting management practices by
having the group decide on a timekeeper, a recorder (to record
on the flipchart), and a reporter.
Note that as facilitator, you SHOULD take charge and keep the
discussion moving. Do not allow someone to dominate or discourage
participation. Do make sure that you aren't the one who is
discouraging participation!
